Case Study: Multi-Site Retail Estate
Large-scale asset verification delivered consistently across a national estate.
Overview
A national retailer with over 1,000 live sites required verification of asset data across its entire trading estate to establish a reliable understanding of what equipment was in place. Existing records were known to be highly inconsistent, with many assets missing, outdated, or inaccurate despite asset tags being present on site.
The objective was to verify and correct information across all locations so that site teams, management, and maintenance contractors could access accurate asset details and locations via the client’s existing QR code system. This replaced generic or incomplete records with our verified data tied to the correct equipment, supporting more effective maintenance, planning, and estate management across the UK and Ireland estate.

The Challenge
-
Existing asset records were highly inconsistent, with many assets missing, outdated, or inaccurately described
-
Asset tags were present on site, but often linked to incorrect, generic, or non-existent records, limiting visibility for management and contractors
-
Verification was required across a large number of live trading stores, with no disruption to day-to-day operations
-
The programme needed to be completed within a tight timeframe, requiring careful planning and control
-
All data had to be accurate and standardised to support reliable estate oversight
The Approach
01
Planning and preparation
Site lists, existing data, and templates were defined in advance to ensure a consistent and a controlled approach.
02
On-site asset verification
Assets were verified with full and relevant asset data captured accurately without reliance on store staff.
03
Standardised data capture
Information was recorded using the same structure and naming conventions at every site.
04
Review and consolidation
Captured data was reviewed and compiled to ensure a complete and accurate register before delivery.
The Delivery
Verification was delivered across the live trading estate using a consistent and repeatable approach. Work was carried out independently on site to avoid disruption.
Central coordination supported delivery at scale across multiple regions within the required timeframe.
The Outcome
The programme delivered complete and accurate asset registers across the entire estate, with one register per store providing a reliable view of what equipment was present and where it was situated on site.
Verified asset data replaced generic and outdated records, giving management and maintenance teams the clarity needed to plan, maintain, and manage the estate with confidence.
Key Takeaways
Verification Over Assumptions
Accurate estate data can only be achieved through on-site verification rather than reliance on legacy records.
Consistency Enables Control
Using the same standards and methods at every site allows information to be compared and trusted at an estate level.
Scale Requires Structure
Large, live estates can be verified efficiently when planning, capture, and review are tightly controlled.
